  1. MEMBERSHIP BENEFITS:
    1. MEMBERSHIP MECHANICS:

COLLECTING MONEY AND MEMBERSHIPS AT THE MONTHLY MEETINGS:  Request from the Treasurer:

  1. See most current copy of Membership Form (will be dated in upper right hand corner). 
  2. Be sure form is completely filled out each time, or a note made that nothing has changed from previous membership.
  3.  Date the form, note payment type (cash, check and check number, credit card). 
  4. Ask if person wants a receipt (automatically give a receipt if cash). On receipt book, note it as an HRHS donation, not dues or membership.
  5. Place Check or cash with Membership Form, and tri-fold with money inside.  Treasurer will process.

CONSIDER MEMBERSHIP PAYMENTS TO BE COLLECTED BY BOARD MEMBER ONLY, FOR INSURANCE PURPOSES (CAROL PROPOSES)

Supplies:   receipt book and the money bag.

           MEMBERSHIP BADGES: 

          a. All current paid members shall receive a Membership Badge displaying their name.

          b. The Membership Director is responsible for making and storing the badges. 

          c. The badges will be placed alphabetically on a table prior to every meeting, for the members to pick up. 

          d. At the meetings end, the badges will be collected as members exit the auditorium.

  1.  MEMBERSHIP RENEWAL:

Membership Renewal Reminder Email is an “event” in Constant Contact.

Periodically the Membership Renewal Reminder will be emailed to those members who are about to or have recently expired.

  1.  MEMBERSHIP UPDATING AND REVIEW/DATABASE MANAGEMENT 

CONSTANT CONTACT DATABASE MANAGEMENT

  1.  Membership:  New and updated contacts shall be entered into the Constant Contact (or other) database within 2 weeks of receiving contact information.  This includes paid memberships as well as contacts who want to receive our emails and other data transmission. All contacts entered into our database shall be with the permission of the contact (permission-based).
  2. Database management will also occur periodically as needed, and not less than quarterly.
  3. Contact details to be entered shall include data as provided by the contact, with the minimum being First and Last Name and email address.  
  4. If a contact does not have an email address, they shall be given a non-usable email, consisting of    none@hrnancylinsenbigler.com   (none @ hr and then their first and last name.com
  5. Membership paid status will be noted in the columns:

Membership Renewal Date expressed as year.month.last day of month

ie: 14.10.31 (Oct. 31, 2014)

Membership Type (Individual, Senior 50+, Family, Lifetime)

Membership Payment Amount

Membership Count

Membership Original Date (when first joined)

  1. Membership Entry for Significant Others (SO) presents special challenges on Constant Contact Entry.

Make 2 entries: one for each person.Each entry includes the SO name entered into the Title and Company Field

Example Entry One Person:First NameMinnieLast Name:Mouse

Example Entry Second Person:First Name:FelixLast Name:Cat

Title: MinnieCompany:Mouse

They will usually be paid as a Family Membership ($20), so the Membership Renewal Date on both of them will be the membership paid date, Membership Type column on both of them will be F, and Membership Payment Amount on both of them will be $10.00(totaling $20.00 for the two of them)

Also make a note in the TAGS section, selecting FAMILY SEPARATE ENTRY

Also make a note in the NOTE section, putting both names here, so that will tell us to check the other person as needed.

  1.  Unsubscribes: We are notified when contacts unsubscribe from Constant Contact. 

Monitor this notification monthly.If CURRENT MEMBERS or IMMEDIATE PAST MEMBERS, or LONG-TIME CONTACTS unsubscribe, Contact them to ascertain reason for unsubscription.

--if a problem exists, address it.

--if it was an Unintentional unsubscription, send them an invitation to re-subscribe using the link below, or by signing up from a current program invitation using the Constant Contact “register here” link.We can also do it for them from the above two sources, with their permission.We cannot re-subscribe them directly in Constant Contact by “adding” a new contact.

  1. EXCEL SPREADSHEETS OF DATABASE

  Below is the procedure to export the list from constant contact and prepare the active member list:

1.) Log into www.constantcontact.com

2) Select Contacts on the Menu Bar

3) Select View All Contacts on the left as some active members have unsubscribed

4) Select the checkbox in the header bar above the A to select all

5) Select Export from the center of the page

6) Select First name, Last name, Customer Fields (all 5 Membership)

7) Press Export Contacts

8) Select on the Header to see download activity

9) Select Download Excel

In Excel:

10) Sort on column Membership Renew Date

11) Sum up Membership count for all active members and record

12) Pull badges past 15 months

13) Mark badges with red sticker for 13-15 month

14) Mark badges with yellow for 11-12 months for pending renewal.
